We are Etive Pipers, a youth piping group based in Oban.

  • Families who register children for our group classes

2. What personal data we collect (members & website users)

For group registration and safeguarding:

  • Parent/carer name, phone number, and email address
  • Emergency contact name and number
  • Child’s name, date of birth, and any relevant support or medical notes
  • Consent responses (media use, policy agreements)

Through our website and booking system:

  • Names and emails submitted via forms
  • Lesson bookings (name, email, preferred times, and notes)
  • Anonymous site usage data (see Section 7)

3. Why we collect your data

We collect personal data to:

  • Communicate with you about lessons, updates, and emergencies
  • Deliver our classes safely and responsibly
  • Record and manage permissions (e.g. photo/video consent)

  • Your data is stored securely using encrypted cloud services (e.g. Google Workspace).
  • Only Etive Pipers tutors and administrators have access to it.
  • Media is stored securely and only used in line with your consent.
  • We retain registration data for up to 3 years after a child leaves the group.

5. Media & Photo Permissions

You have full control over how photos, videos, or recordings of your child are used. You may withdraw or update your consent at any time by emailing info@etivepipers.com.

6. Your rights

You have the right to:

  • Request access to personal data we hold about you or your child
  • Ask us to correct, delete, or restrict that data
  • Withdraw consent at any time (e.g. for photo usage)

7. Cookies & Tracking

Our website uses cookies and Google Analytics to help us understand how visitors use the site, so we can improve it. These apply to all website visitors, even if you don’t register for classes.

What this means:

  • Google Analytics tracks anonymous data such as pages visited, browser type, city-level location, and time spent on site
  • This data is not linked to your name or contact information

  • You can manage or block cookies through your browser settings at any time
